What is Document Imaging?
Document imaging is a high quality integrated solution for record management. The process consists of converting paper-based documents into computer-based documents or electronic images. Scan all the documents you currently store in filing cabinets and store the images conveniently in a single, fully integrated location. Most imaging systems on the market are “stand-alone”, which means you would have to go to a dedicated workstation to view any document. Freedom3 Document Imaging provides you with the ability to retrieve, view and print from any workstation, even at branch locations.
Freedom3 Document Imaging also provides for automatic imaging of daily work printed from the share and loan processing system. Each laser printed receipt, check, and notice that is generated is efficiently imaged and filed away in the Imaging Database without any manual involvement from staff members. The documents are indexed by the teller ID, date and time, so they are easily retrieved.
Each member related document is indexed by their account number for easy retrieval from staff at any branch. Imagine having all of a member’s loan forms, signature cards, payroll cards, photo id’s, etc. available across your network on any workstation. It is as easy to find a loan form as it is to process a deposit.
The storage of business data is just as easy. Maybe you want to catalog all of your 5300 reports, or board meeting minutes. This can all be done in categories of your choosing. Any business related document can be a part of your Freedom3 Document Imaging package. This would even include employee files, lease information, promotional items, etc. All of this is available at your fingertips and not stored in file cabinets or storage facilities across town.
Another unique feature of the Freedom3 Document Imaging package is the ability to keep data discreet. You may have employees that you would like to have access to all of the imaging data, and some that can have only limited access. All of this can be controlled efficiently by providing passwords to your staff. These passwords can be engineered in a manner that allows access to specific sets of folders and files per individual or department.
Another great feature of the Freedom3 Document Imaging product is the additional security provided by displaying a photo identification and signature at the time of a transaction automatically. (When was the last time you saw a teller look up a signature card for positive identification?) Simply scan the membership signature cards and photo ID for your members when they visit the credit union, and from that point forward, these two items will automatically display with many member transactions.
